Chapter 07

Add your employees

Each person you pay needs an employee record. It holds their details, shift, salary and how they check in.

Departments and branches

Create these first so you can choose them while adding people. Open Departments & branches. Use departments for teams such as Sales or Production, branches for each shop or outlet, and sites for labour working at a location, each with a site supervisor. A department can have a head and teams with team leads.

Add one person

Open Employees and choose Add employee. Only the full name is required; fill in the rest now or later.

Daily wages

Under How they’re paid, choose Daily wage and enter the amount for one day. They’re paid for each day worked, and weekly offs and holidays are paid only when they work. Daily-wage people appear on the same payroll, payslips and Excel export as everyone else. If they have no phone, keep their attendance in the Daily register.

Import from a spreadsheet

On the Intelligence plan, admins can bring in many people at once from Employees:

  • Import reads an Excel (.xlsx) or CSV file. Stafrix matches your column headings to its fields, cleans up Indian dates, phone numbers and rupee amounts, and shows duplicates and problems before anything is saved.
  • Smart import (with AI turned on) reads almost any file, including every sheet of a workbook or a PDF report up to 8 MB, and suggests company details, shifts and employees. Anything it couldn’t find, such as a missing salary, is flagged. Nothing is saved until you confirm.

The employee page

Open anyone from Employees to see their attendance calendar, leave, payslips and app access. From here you can invite them to the app, print letters and add fines.

When someone leaves

Edit the person and set the Last working day, then deactivate them. They stop counting towards your plan’s employee limit, they can no longer sign in to the app, and their history and payslips are kept.

Still stuck?

Write to us and a person from the Stafrix team will answer.
